Contractor License Vault ("we," "us") monitors the public CSLB record for the California contractor licenses you ask us to watch and alerts you before a renewal, bond, workers' comp, or entity-standing problem can cost you the job. This policy explains what we collect, how we use it, and the choices you have. Contractor License Vault is an independent service and is not affiliated with or endorsed by the Contractors State License Board or the State of California.
Information we collect
- The CSLB license numbers you look up or add to monitoring.
- Your contact details — the email addresses you give for alerts (primary and backups).
- Account information — your password (stored only as a salted hash) and plan.
- Documents you choose to store in your vault (for example, a renewal notice, bond or comp paperwork, or your renewal PIN).
- The public CSLB record we observe over time for your license, and basic logs needed to run and secure the service.
Where your license data comes from
The CSLB license details we show and monitor come from the publicly available CSLB record. We collect it automatically on a recurring schedule and keep a history of what we observed over time. Because it is a copy of a public record, it can lag the official source or be incomplete — always confirm anything important directly with the CSLB.
What we never collect
We never collect Social Security numbers, and we don't file your renewal for you. Renewal forms may ask for an SSN — that part stays between you and the state. In v1 we contact you by email only; we do not collect phone numbers for text messaging.
How we use your information
We use it to monitor your license, send the alerts and account emails you ask for, provide your dashboard and document vault, process your subscription, and keep the service secure. We do not sell your data and we do not use it for third-party advertising.
Your documents
Vault documents are private to you. They are stored encrypted at rest, are accessed only through short-lived signed links (which expire within 15 minutes), are never placed in a public location, and we never log their contents.
Service providers
We rely on a small set of vendors to run the service: cloud hosting, the database, the CSLB-data lookup, email delivery, encrypted document storage, and payment processing. They process data only to provide their part of the service, under their own terms. Payments are handled by our merchant of record (Polar); we do not store your full card details.
Data retention
We keep your account and monitoring data while your account is active. Our record of what we observed on the public CSLB file over time is kept as an audit trail. When you ask us to delete your account, we remove your personal data and documents, except where we must keep limited records to meet legal or accounting obligations.
Your choices and rights
You can update your contacts, snooze or unsubscribe from non-critical emails, download or remove your documents, and ask us to delete your account and data. Depending on where you live, you may have additional rights to access, correct, or port your data. To make a request, contact us at the address below.
Security
We use encryption in transit and at rest, hashed passwords, signed short-lived links for documents, and access controls. No system is perfectly secure, but protecting your information is core to what we do.
Children
The service is for businesses and adults; it is not directed to children under 13.
Changes to this policy
We may update this policy as the service evolves. We'll change the date above and, for material changes, let you know by email.
